These Terms and Conditions govern the agreement between Axis Adventures LTD ("we", "us", "our") and the client or participant ("you") in relation to the provision of outdoor activity programmes and experiences. By booking with us, you confirm that you have read, understood, and agree to be bound by these terms.

Section 01

Introduction

Axis Adventures LTD is a professional outdoor activity provider registered in England and Wales (Company No. 16965483). We deliver structured outdoor experiences for schools, corporate organisations, child looked after (CLA) providers, and youth groups across the United Kingdom.

These terms apply to all bookings, enquiries, and participation in any activity or programme delivered by Axis Adventures LTD, whether in person, via email, telephone, or through our website.

Section 02

Bookings & Payment

All bookings are subject to availability and are confirmed only upon receipt of a signed booking form and deposit (where applicable). A confirmation will be issued in writing by Axis Adventures LTD.

  • A deposit of 25% of the total booking value is required to secure your date. This deposit is non-refundable except where Axis Adventures LTD cancels the booking.
  • The remaining balance is due no later than 14 days before the activity date.
  • For bookings made within 14 days of the activity date, the full amount is payable at the time of booking.
  • We accept payment by bank transfer, card, or other agreed methods. All prices are quoted in GBP and include VAT where applicable.
  • Axis Adventures LTD reserves the right to amend pricing. Any changes will be communicated prior to confirmation of your booking.
Section 03

Cancellation Policy

We understand that plans can change. The following cancellation terms apply:

  • More than 28 days before the activity: Full refund of any payments made, less the non-refundable deposit.
  • 14–28 days before the activity: 50% of the total booking value is due.
  • Less than 14 days before the activity: 100% of the total booking value is due.
  • Cancellations must be made in writing to Info@axisadventures.co.uk.

Cancellation by Axis Adventures LTD: In the unlikely event that we must cancel your booking due to circumstances beyond our control (severe weather, instructor illness, or force majeure), we will offer a full refund or an alternative date. We cannot be held liable for costs incurred beyond the booking value itself.

We strongly recommend that clients take out appropriate group activity insurance to cover potential cancellation costs.

Section 04

Safety & Participant Conduct

The safety of all participants is our highest priority. By booking with Axis Adventures LTD, the client accepts the following conditions:

  • All participants must follow the instructions of Axis Adventures LTD instructors at all times.
  • Participants who refuse to follow safety instructions or whose conduct puts themselves or others at risk may be removed from the activity without refund.
  • The use of alcohol or illegal substances before or during any activity is strictly prohibited.
  • Appropriate clothing and footwear is the responsibility of the participant unless equipment is explicitly included in the booking.
  • Axis Adventures LTD instructors reserve the right to modify or cancel activities on the day due to weather or safety concerns, and will offer a suitable alternative where possible.

Health & Medical Conditions

It is the responsibility of the booking organisation or participant to disclose any relevant medical conditions, disabilities, or allergies prior to the activity. This information is used solely to ensure participant safety and appropriate activity planning.

  • Participants with medical conditions that may be affected by physical activity should seek medical advice before participating.
  • Axis Adventures LTD will make reasonable adjustments to accommodate participants with additional needs where possible.
  • All medical information is treated confidentially and in accordance with our Privacy Policy and applicable data protection legislation.
  • Participants must carry any required medication (e.g. EpiPens, inhalers) and inform instructors of their use at the start of the session.
Section 06

Safeguarding

Axis Adventures LTD is committed to the safeguarding and welfare of all children and vulnerable adults in our care. We operate a comprehensive safeguarding policy and all staff complete safeguarding training and are subject to enhanced DBS checks.

  • A minimum adult-to-child supervision ratio will be maintained at all times, in accordance with activity-specific requirements.
  • All safeguarding concerns will be handled in accordance with our Safeguarding Policy and referred to the appropriate authorities where necessary.
  • Booking organisations are responsible for ensuring that appropriate consent has been obtained from parents or guardians for all child participants.

Child Protection: The welfare of every child is paramount. Any concerns regarding the welfare of a child during an Axis Adventures LTD programme should be raised immediately with the lead instructor or a senior member of staff.

Section 07

Liability

Engaging in adventurous outdoor activities inherently carries risk. By agreeing to participate in any activity delivered by Axis Adventures LTD, participants and booking organisations acknowledge and accept those inherent risks.

Our instructors are qualified professionals who take all reasonable steps to assess, manage, and mitigate risk before and during every session. However, Axis Adventures LTD cannot be held responsible for injury, loss, or damage that occurs beyond our reasonable control.

By booking with us, you accept that adventurous activities carry inherent risk, that our instructors act to mitigate those risks at all times, and that Axis Adventures LTD cannot be held liable for incidents that fall outside of our reasonable control or that result from a participant's failure to follow instructor guidance.

  • Axis Adventures LTD accepts liability for personal injury or damage caused directly by the proven negligence of our staff.
  • We do not accept liability for loss or damage to personal property during activities.
  • We do not accept liability for indirect or consequential losses arising from a booking, cancellation, or modification of an activity.
  • Our total liability in any circumstances is limited to the value of the booking in question.
  • Participants who fail to follow instructor instructions, disclose relevant medical information, or act in a manner that increases risk do so at their own risk.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

Section 08

Photography & Media

Axis Adventures LTD may photograph or film activities for use in marketing materials, social media, and our website. By participating, you consent to this use unless you notify us in writing prior to the activity.

  • For activities involving children, written consent from a parent or guardian must be obtained by the booking organisation prior to participation.
  • Any media featuring identifiable individuals will be used respectfully and in accordance with our Privacy Policy.
  • Participants may request removal of their image from our materials at any time by contacting us in writing.
Section 09

Equipment & Property

Where equipment is provided as part of a booking, participants are responsible for its careful use and return in the same condition it was received.

  • Loss or wilful damage to equipment will be charged to the booking organisation at replacement cost.
  • Normal wear and tear is accepted. Participants are not liable for accidental damage arising from correct use.
  • Axis Adventures LTD accepts no responsibility for loss or damage to personal property brought to any activity.
Section 10

Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from a booking or participation in Axis Adventures LTD activities shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Axis Adventures LTD reserves the right to update these Terms and Conditions at any time. The most current version will always be available on our website. Continued use of our services constitutes acceptance of any updated terms.
